World Meeting Planner

Add each participant's availability window in their own zone, plus your desired meeting length. If a shared slot exists, see its exact local start and end time for everyone.

Need this meeting to rotate fairly across time zones over many occurrences? See Fair Meeting Rotation Planner.

Worked example

A 9 to 5 working window in America/New_York and a 9 to 5 working window in Europe/London on the same calendar date share a real overlap once both are converted onto one timeline, and a requested 30-minute meeting fits comfortably inside that shared window, placed at the very start of the overlap. Shrink either participant's working hours, say ending the New York day at 11 AM local time instead of 5 PM, and the shared overlap narrows sharply, possibly down to nothing at all depending on how far apart the two zones actually sit. Add a third participant in a zone that barely overlaps with either of the first two, and the planner checks whether all three windows share any common stretch long enough for the meeting, not just any two of them.

Common mistakes

  • Assuming any nonzero overlap is automatically enough. The requested meeting length has to actually fit inside the full shared window, not just touch it.
  • Forgetting that adding more participants can only shrink the shared window, never grow it, since every additional person's working hours are one more constraint the final slot has to satisfy.

Limitations

This proposes one valid slot, the start of the shared overlap, rather than every possible option within that window. It does not know about any individual participant's own separate calendar conflicts beyond the stated working hours.

Frequently asked questions

What happens if no meeting slot actually fits?
The calculator reports that directly, stating that no shared window is long enough for the requested meeting length, rather than proposing an overly short meeting anyway.
Does the proposed slot account for each participant's own working hours?
Yes, the shared window is computed from every participant's own stated working hours converted through their own zone, not just the raw time difference between zones.
